This is not your average receptionist, front desk, or passive administrative support role.

The Clinic Operations Manager ensures our Charleston clinic schedules stay near capacity, operations run efficiently, and patients experience a high level of service at every touch point. This person has a managerial role in our team member onboarding and overall patient experience.

As the primary operational point of contact, you will manage day-to-day clinic flow and serve as a confident first touchpoint for prospective and current patients.

You will grow to own the operational engine that keeps our providers fully booked and our growth predictable. Your work directly impacts revenue, patient experience, and our ability to scale to multiple clinics.

You will:


  • Manage provider schedules, including cancellations, rescheduling, and schedule adjustments

  • Manage, train, and oversee clinical staff regarding patient experience, systems, and operations

  • Optimize scheduling efficiency and maintain strong provider utilization

  • Respond to inbound calls and guide prospective patients toward booking consults or evaluations

  • Maintain organization and accuracy within our CRM (Hubspot), and EMR systems

  • Report and monitor key clinic metrics

  • Provide light weekend support

  • Build administrative workflows that keep the clinic running smoothly

  • Welcome patients to our Daniel Island clinic and maintain a professional, organized environment

  • Check in with patients throughout their plan of care and support review requests


When executed well, providers stay near capacity, patients feel supported and valued, and daily operations run smoothly.

WHAT
SUCCESS
LOOKS LIKE

  • Maintain average speed-to-lead under 10 minutes during business hours

  • All team members are consistently following the right procedures

  • Build a weekly reactivation pipeline for past leads and patients

  • Develop clear dashboards to track metrics in real time

  • Create & document SOPs for core operational processes

  • Utilization remains within target range

  • Confidently & accurately answer all operational questions from patients & providers 

  • No active patients left without scheduled visits

  • Systems function predictably and improve over time

This role is NOT for someone who is uncomfortable with consistent, direct feedback and measurement via performance metrics.

Compensation & Benefits: 


  • 55,000 - 80,000 potential salary based on experience and growth within the role

  • 401k 4% Employer Match

  • 15-20 Days PTO

  • Continuing Education & Professional Development 

This role has meaningful growth potential as we expand to additional clinics. Increased responsibility and compensation will follow demonstrated performance. 


Qualifications:


  • 2+ years professional experience (post-college preferred + healthcare experience preferred).

  • Comfortable working inside CRM systems.

  • Strong written and verbal communication skills.

  • Organized and proactive.

  • Interested in growth and leadership.

This is a growth-track position designed for someone above entry level. We are looking for someone who wants to grow with us.
